Season fees
What you’ll achieve: every player of the season knows what they pay and when, the instalments are charged on time without anyone chasing them, and you see at a glance who has paid — per team and per family.
Prerequisites: Stripe is connected so families can pay online, and your teams exist for the season.
What a fee plan holds
Section titled “What a fee plan holds”| Part | Example |
|---|---|
| Title | Season fee 2026/27 — youth teams |
| Season total | 420 € |
| Instalments | October 140 € · January 140 € · April 140 € — each with its label, amount and due date |
| Enrolment fee | 30 €, once, with the first instalment |
| Kit fee | 45 €, once |
| Sibling discount | 15 % from the second child of the same family |
| Teams | the teams the plan applies to |
You can keep several plans side by side in one season — for example one for youth teams and one for seniors.
Create a plan
Section titled “Create a plan”- Open Sales → Season fees and click + New plan.
- Enter the title, the currency and the season total.
- Split it into instalments — one, three, ten, as many as you like — each with its label, amount and due date. The amounts must add up to the season total.
- Add the enrolment fee and the kit fee if you charge them.
- Set the sibling discount: the percentage, and from which child it applies (second, third…).
- Pick the teams the plan applies to and save.
Assign it
Section titled “Assign it”When you save a plan with teams, every player on those rosters is assigned to it. You can also assign or remove single players, and give one player an individual discount or their own instalment dates — for example a family that pays in two halves.
Brothers and sisters are recognised through their family account: the discount applies automatically to the second child (or the one you chose) of the same family.
How instalments are charged
Section titled “How instalments are charged”Fourteen days before each due date, every assigned player gets a charge for that instalment — the same kind of charge as a group charge, so the family pays it in the Volley World app by card or, in the euro area, by SEPA direct debit. A paid charge is ticked off in the plan straight away.
Who has paid
Section titled “Who has paid”Open Season fees → Matrix. Players (or families) run down the side, instalments across the top; each cell shows paid, open or overdue, and each row ends with what is paid and what is still open.
- Filter by team to see one squad.
- Switch to families to see one row per family, with all their children’s instalments together — the view for a parent who asks “what do we still owe?”.
- Click Remind on an open row to send a payment reminder with the payment link.
Subscriptions of the same players appear in the matrix too, so the picture is complete whichever way a family pays.
