What you’ll achieve: new joiners become accepted members of your club, with their onboarding answers filed automatically and an optional welcome message sent.

Prerequisites: the Member Data / Member Files write permission. People appear here after opening your invite link.

  1. Open Member Requests. It lists everyone with a pending request. If you have an onboarding form, the Form column shows Completed or Pending per person.
  2. (Optional) tap the settings gear to open Welcome message: turn on Send a welcome message on accept and edit the Message, then Save.
  3. Select the pending rows you want to accept with their checkboxes.
  4. Tap Accept Members.
  5. In the Confirm membership dialog, tap Accept. Each member’s onboarding answers are copied into their file, they’re marked accepted, and any welcome message is sent.

The welcome message is a private chat message inside the app, not an email. Three things about it are worth knowing:

  • It is yours, not the club’s. The setting lives on your own account, so every organizer who accepts members keeps their own wording. Your colleague’s message is separate from yours, and turning yours on does not turn on theirs.
  • It is sent by you personally. The new member receives it as a normal one-to-one chat from your account, and can reply to you in the same thread.
  • It goes out the moment you accept them, as the last step of the Accept Members run.

Use it for whatever a new member needs to hear first — a plain greeting, or a short explanation of how your memberships, classes or level system work.

You tapped Accept Members without selecting anyone. Tick at least one pending row first.

Some members weren’t accepted

Bulk accept is limited by your plan’s member quota. If you hit QUOTA_EXCEEDED, the dialog reports which succeeded — upgrade your plan to accept the rest.

The welcome message wasn’t sent

It’s only sent when the welcome message is switched on and the message isn’t empty. It’s configured per organizer, so check your own settings gear — a colleague having it on does not send it for you. It is also only sent by the bulk Accept Members flow, so accepting someone from their row skips it. Leaving the page while the accept run is still going can cut it short too: the members are accepted first and the messages go out last.
