Federation calendar

Who does thisFederation staff

What you’ll achieve: every competition your federation runs on one calendar — added, corrected, copied or called off from the same place.

Prerequisites: your federation account (see Staff & verification).

Click Schedule in the sidebar. You get a month calendar and, next to it (below it on a narrow screen), the list of everything in that month — Everything in month, one header per day. Click a day to see only that day; click it again to go back to the whole month.

Four tabs sit above the calendar. Each shows how many upcoming entries it holds:

TabWhat it shows
TournamentsYour federation’s tournaments, with their state: Inscriptions open, Inscriptions closed, Full, Finished or Cancelled, the current Phase and how many teams are in.
LeaguesYour leagues. A league appears in every month its season touches; a finished league says Finished.
League Match DaysReserved for the playing days of your leagues. It stays empty for now — the playing days live inside each league in the Competition Manager (Create match days).
CoursesReserved for training courses. It stays empty for now.
  1. In Schedule, click Add. Which type of event would you like to upload?
  2. Choose Competitions (a tournament) or Leagues. Job trainings carries a padlock — it is unlocked on request, like the modules on request.
  3. The event editor opens: the form on the left, a live phone preview on the right that shows the event the way players will see it in the Volley World app. Your federation’s name, logo, country and contact phone are filled in already.
  4. Fill in the sections and click Publish. The fields are checked when you publish, and the editor jumps to whatever is still missing.

The sections of a competition: Competition basics (banner, Event Name, Description), Time and location, Competition settings (format and capacity, ranking), Organizer, Gender & Visibility, Pricing (In-App-Payment or Manual payment) and Advanced Options (a sign-up form, Event privacy).

The sections of a league: Competition basics, Identity, Season window, Gender & Visibility, Competition format, Roster, Registration open, Team sign-up and Rules and access. The league is then set up in depth in the Competition Manager — see Create the league.

Click an entry on the calendar to open it. The page shows the banner, the date and time, the location (tap it for the map), a summary — Price (For free when free), Teams registered (for a league: Maximum teams) and Gender — and the Details with the description.

The Competition Manager card (Run brackets, schedules and live results) and its Enter button take you to this event in the Competition Manager, signed in as your federation — see Open the Competition Manager.

The Off to the Competition Manager dialog with the Open Competition Manager button
Enter hands you over to the Competition Manager, already signed in.

At the top of the page:

ButtonCompetitionsLeaguesWhat it does
Edit✔✔Opens the same editor, filled in. Save applies the changes: Changes saved.
Copy✔—Opens a new event filled in from this one, named … (Copy as new), with the date and times empty. Publishing creates a new event; the original is not touched.
Cancel✔—Suspends or deletes the event (below).
  1. On the event page, click Cancel. The dialog Cancel event asks: Are you sure? The participants will be notified and the event disappears from every calendar.
  2. Pick the Cancellation reason: Rain, Thunderstorm, Low temperatures, Strong winds or Other reasons.
  3. Click Suspend event or Delete event.
  • Suspend event marks the event as cancelled and keeps it, with its teams and their payments. The participants get a push notification, a message and an entry in their notification bell: Event cancelled — participants notified. The event page then shows Event cancelled.
  • Delete event removes the event with its participants, teams, phases and payments. It cannot be undone. On an event that is already suspended, Cancel offers only Delete event.
Troubleshooting
  • “Nothing scheduled this month”. Move to another month, check the other tabs, or add the first entry.
  • A league is on the calendar but its playing days are not. Playing days are created inside the league in the Competition Manager; the League Match Days tab is empty for now.
  • “Event cancelled, but notifying the participants failed.” The event is suspended; tell the teams yourself, for example from the Competition Manager.
  • Job trainings is locked. Write to hola@volleyworldapp.com to have it unlocked.
