Welcome email

What you’ll achieve: every new member receives a branded welcome email from your club.

Prerequisites: an active Club PRO plan — the welcome email is a PRO feature, and an expired subscription switches it off. This screen currently shows Spanish labels regardless of your app language; the English meaning is given in brackets below.

The body of this email is raw HTML, and email clients are unforgiving about it — inline styles only, tables for layout, no modern CSS. You do not have to write that yourself.

  1. Write down what the email should say: your welcome text, which logo and images to use, your colours, and any links you want in it (training schedule, house rules, your website).
  2. Send it to hola@volleyworldapp.com from your Club PRO account.
  3. We build the HTML and set it up on your club within 24 hours.

If you would rather build it yourself, paste your own HTML into the body field in step 5 below.

  • It goes out when you accept a membership request, not when the request arrives. Someone sitting in your pending list has not been emailed yet.
  • It is sent once per member, automatically. There is no send button.
  • It arrives from noreply@volleyworldapp.com — that address does not accept replies, so put a real contact address inside the email body if you want answers.
  • It is club-wide: one email, configured once, the same for every new member and every organizer who accepts them.
  1. Open Marketing → Welcome Email.
  2. Turn on the Activar email de bienvenida (“Enable welcome email”) switch.
  3. Fill in the Asunto (“Subject”) — this is required.
  4. (Optional) add a CC (opcional) address.
  5. Paste your HTML into the body field (HTML pegar/editar aquí — “paste/edit HTML here”). Use inline styles for reliable rendering across email clients.
  6. Tap Guardar (“Save”). You’ll see Guardado correctamente (“Saved successfully”).

Your HTML is sent as-is, so the email carries your club’s own logo, colours and wording — this is what lands in a new member’s inbox.

The enable switch won’t turn on

The welcome email is Club PRO only. On a lower plan, tapping the switch shows Solo para Club PRO (“Club PRO only”) and it stays off. Upgrade your plan to enable it. The same check runs again when an email is about to go out, so a subscription that has lapsed stops the sending too, even if the switch was on before it expired.

A member was accepted but got no email

The most common reasons, in order:

  • The subscription was not active Club PRO at the moment they were accepted.
  • The switch was off, or the Asunto (subject) was empty, when they were accepted.
  • Your club had already used its monthly email allowance.
  • They joined before your club turned the feature on.

All of these are decided at the moment of acceptance and are not revisited afterwards, so enabling the feature, upgrading, or waiting for next month’s allowance will not send the email to someone who was already accepted. It applies to members accepted from then on.

Save says a field is required

The Asunto (subject) is required; the CC and HTML body are optional. Add a subject and save again.
