Configure Training Packages

Role requiredStaff: Sales

What you’ll achieve: a training package (a bundle of session credits) that a player buys once and then spends one credit at a time, one class per credit.

Prerequisites: the Sales / Session Packages permission and a connected Stripe account.

Step 1 — connect your bank account to Stripe

Section titled “Step 1 — connect your bank account to Stripe”

This is the first step, and it is not optional. The package store is locked behind your club’s Stripe connection: until the account is connected and verified, Sales → Training Packages → Package Store shows Account not connected to Stripe instead of your products, and there is no Add New Session Package button to press at all.

The reason is simple — a package is sold online and paid by card, so the money needs a bank account to land in. That account is attached to Stripe during the guided onboarding.

Go through Connect Stripe first, wait until the account comes back verified, then come back to this page.

Sales → Training Packages opens the Session Pack Dashboard, which has three cards:

CardWhat it’s for
Package OverviewThe packs your members already own — how many sessions each has left, when it expires, and the button to extend one.
Package StoreThe products you sell. This is where you create and price a package.
Package AnalyticsHow the packs bought from you are actually being used.
The Session Pack Dashboard with three cards: Package Overview, Package Store and Package Analytics
Sales → Training Packages. The Package Store card is where you create what you sell.

Open Package Store. It shows every package you have, grouped by its sale state:

  • In Store — listed in your club’s online store: anyone can find it and buy it.
  • Unlisted — hidden from the store, but still on sale: it can be bought with the share link, and you can charge it yourself in a sale you assist.
  • Archived — withdrawn from sale: hidden everywhere and no longer purchasable, not even with the share link. Packs members already bought keep working.

Press Add New Session Package at the top right to create your first one.

The Package Store: an In Store group with two packs and an Unlisted group with three, plus the Add New Session Package button at the top right
Everything you currently sell, grouped by In Store and Unlisted.
The package form: In Store switch and share icon at the top right, Product Name, Description and banner image, then Pricing with Unit Price and Currency, then Package Details with Quantity of Sessions, Start Date and Finishes on
One form, three blocks: general information, pricing and package details.
FieldWhat it does
In Store / Unlisted / Archived switcherTop right, three states. In Store = listed in your online store. Unlisted = out of the store but still on sale by share link and in sales you assist. Archived = withdrawn, nobody can buy it any more. Hover a state to read exactly what it does; changing it asks you to confirm first, and the new state takes effect when you save.
Product NameWhat the player sees on the store card, on their own pack afterwards, and in their purchase confirmation email. Say what they get: 10-class pass, Bono 5x classes.
DescriptionThe full text on the purchase page; the store card shows the first couple of lines. This is where the small print goes — which coaches it covers, whether insurance is included, that it is only valid within its dates.
Banner imageOptional. Without one, the pack falls back to your club banner, so every pack looks the same in the store — worth an image if you sell more than one.
Unit PriceThe price of the whole pack, not the price per session. A 10-session pack at 105 EUR means the player pays 105 EUR once.
CurrencyDefaults to EUR. Set it to the currency your club actually charges in, and keep it the same across your products.
Quantity of SessionsThe key field. How many credits the player gets — 5 sessions, 10 sessions. Each credit is one class. Must be at least 1; a pack of 0 sessions charges the player and gives them nothing, so the form refuses to save it.
Start DateThe first day the pack is valid. Optional.
Finishes onThe last day the credits work. Optional, but read the next section before you leave it empty — this single field decides more than any other.

Press Save. You’ll see Saved Session Package successfully!

The validity window is the field people get wrong

Section titled “The validity window is the field people get wrong”

Finishes on is an absolute date, not a duration. Every credit in the pack is minted with that exact expiry, whoever buys it and whenever they buy it. A player who buys your valid until 30 November pack on 25 November gets five days of use out of it, not three months.

Three consequences worth knowing before you set it:

  • Leave Finishes on empty and the credits last 30 days from the day of purchase. That is the fallback, and it is short. If you want a season-long pack, set the date.
  • Once the date has passed, the pack stops selling itself. It disappears from your store and is refused at checkout, even if the In Store switch is still on — otherwise buyers would pay for credits that are already dead. So a pack with a hard end date needs a new end date each season, or a new pack.
  • A credit is checked against the date of the class, not against today. A player can book a 20 May class on 2 June and it still works; a 5 June class never works, no matter how many credits are left. This trips up players constantly — the details, with an example, are in session packs for players.

Step 4 — get the package in front of players

Section titled “Step 4 — get the package in front of players”

Once the pack is saved, a share icon appears next to the In Store switch at the top of the edit page. That’s your most direct route to a sale.

The share button — straight to one player

Section titled “The share button — straight to one player”

Open the pack from the Package Store, press the share icon, and the link is copied to your clipboard (Link copied to clipboard). Paste it into a WhatsApp message, an email, your team chat.

The link opens that one package’s purchase page. The player signs in, sees the name, description, price, session count and validity dates, and buys it right there — no browsing, no searching.

Section titled “The store link — your whole shop in one link”

To point people at everything you sell rather than one pack, use your online store page instead. On the Club Manager dashboard, under Share Club Links, press Web Homepage and pick Store (Direct link to your store page). That copies a link to your club’s public store, where all your In Store packages, subscriptions, licences and tickets sit together.

Good for a newsletter, an Instagram bio, or the club noticeboard.

The same Share Club Links row on the dashboard gives you your club’s web page (Web Homepage → Main page) and its page in the mobile app (Mobile App). Members who already follow your club reach the store from there on their own — nothing more to send.

Packs don’t have to be bought online. On the Package Overview card you can search for a member and grant them a pack yourself — the answer to “they paid me in cash” or “this one is on the house”.

Search the member by name, then set the pack under General Information: the sessions it grants (Quantity Sessions), the Payment Amount and Currency, the Coach responsible, the Payment Method (for example Cash), and the date range it is valid for.

Granting a pack to a member from Package Overview.

A pack that has run out of time can be extended for one member without issuing a new one — open Package Overview, click their pack, then the pencil icon at the top right. The new date is written to the pack and to every one of its remaining session codes at once, and it changes nothing for other members or for the product in your store.

See extending a pack’s validity for the full walkthrough.

If you only want to stop selling a pack, set its state switcher to Archived instead of deleting it — the product stays in your Package Store with its history, and nobody can buy it any more.

The Delete button at the bottom of the edit page removes the product from your store. Before it does, it tells you the impact:

  • Sessions members already bought are kept. They paid for them, so their packs and remaining credits stay valid until their own expiry date. Deleting the product never revokes anything.
  • Subscriptions that grant this pack are unlinked. If a subscription product was set to hand out this package on every renewal, that link is removed and future renewals stop granting it. The dialog names the affected subscriptions before you confirm.
There’s no Add New Session Package button

Two possible causes. Either the club’s Stripe connection isn’t active yet — the whole store is gated on it — or your staff account has view but not edit on Sales → Session Packages. Creating a sellable product needs edit rights; see roles and permissions.

The pack doesn’t show up in my store

Check the state switcher on the pack: only In Store packs are listed — Unlisted and Archived ones are hidden from the store by design. Then check Finishes on. A pack whose end date has passed is hidden from the store and refused at checkout even when it is set to In Store, because its credits would be born expired.

A player bought a pack but the payment option is greyed out on their class

Almost always the validity window against the class date — see the walkthrough on the player side. The other possibility is the event type: packages cover trainings and friendly matches only.
