Roles explained

Access in Club Manager is decided by a member’s role plus a fine-grained permission matrix. Roles are set from a member’s file, not a global list.

  • Member — the default. No admin access.
  • Coach — access focused on groups and trainings. Free and Community clubs can have one coach.
  • Secretary — administrative access. Club PRO only, and one per club.
  • Administrator — full access. There is exactly one, and only the current admin can hold or hand over that role.

How many organizers (staff with a role above Member) you can appoint depends on your plan: Free 3, Community 6, Club PRO up to its tier limit.

For any role above Member, permissions are set feature by feature. Each feature has two switches:

  • View — can open and see that area.
  • Edit — can make changes there.

The two are linked: turning View off also clears Edit, and turning Edit on also sets View — you can’t edit something you can’t see. Two column-level checkboxes let you grant View or Edit across everything at once.

Permissions are grouped into App Access (which areas appear) and Functionality Access (what can be done in them). A role can also be given a set of mobile dashboard widgets — the shortcuts that person sees on their phone.

You can always adjust your own dashboard widgets, but you can’t change your own role or permissions. The administrator role is special: the admin can’t demote themselves, and only the current admin can pass the role to someone else.
